Tentative bookings will be held for a period of 7 days only. After this time the booking will be released if a signed copy of the terms and conditions along with deposit has not been received. Reservations will only be confirmed on receipt of a signed copy of the terms and conditions and deposit.

The following amount is required to confirm the booking, unless otherwise specified by Natural Food Company (NFC):

20% non-refundable deposit and signed terms and conditions to reserve the date. The 20% is based upon the last agreed quotation unless otherwise agreed in writing by NFC

Where deemed appropriate by NFC (generally larger events), a further £250 will be required which will be held on account in conjunction with all other deposits and will be fully refunded after the event should there be no run-over with the times as agreed in the quotation and that there are no breakages or losses to the equipment hired to you by NFC for this event. The cost of any damages, losses or additional staffing costs due to over-running of time will be compensated with the retained £250 and any balance which has not been required for this will be reimbursed to you.

Depending on the type of event, the following amounts are required, unless stated otherwise by NFC, as follows:

70% of the agreed cost to be paid NO LESS THAN ONE MONTH before the event.

10%, the balancing payment, will be due 5 WORKING DAYS AFTER the event date.

You will be charged for any additional costs incurred by NFC that has not been previously agreed within the quotation.

Anticipated final numbers are required in writing one week prior to the event and this number will be the final number invoiced and catered for unless agreed in writing one month prior to the event.

NFC reserves the right to substitute menu items of a similar quality without notice, due to, but not limited to, supplier shortages and seasonal change. NFC reserves the right to substitute selected beverages with beverages of equal value if the preferred selection is unavailable.

A surcharge applies if extra choices are required. With prior notice, all dietary requirements will be catered for with a modified or separate meal.

Special dietary requirements must be communicated to NFC 1 month prior to the event.

The quoted costs are based on a set minimum number of guests, as detailed in the quotation. NFC reserves the right to alter the quoted price, in consultation with the host, should the number of guests increase or decrease significantly below this minimum order, or should ingredient prices increase significantly in the intervening period.

If there should be a tasting, there is a charge of £50 plus the price of ingredients. This price will be deducted from the confirmed booking only

All prices are based on a per person charge for food unless stated otherwise in the quotation.

NFC reserves the right to charge 10% interest per week for payment being later than 5 days from the completion of the event.

No Corkage charge on drinks is made.

NFC reserves the right to charge should furniture need setting up prior to the event.

All breakages and losses of equipment used will be charged for.

Refunds are made on a pro-rata basis: 3 + months: £50 will be forfeited.

1 – 3 months: Deposit will be forfeited.

Less than 2 weeks: Deposit forfeited and cancellation fee equivalent prior to event to 20% of estimated food and beverage charges (based on last numbers provided).

Less than 1 week: Deposit forfeited and cancellation fee equivalent prior to event to 50% of estimated food and beverage charges (based on last numbers provided).

*Please note that rescheduling your booking, where possible, will be accommodated. If this is not possible it will be classified as a cancellation and the above cancellation policy will apply.

NFC is NOT responsible for the removal of bottles and rubbish

NFC is NOT responsible for the cleaning of premises.
